What documents are needed to prove authenticity on Amazon?

In this article we discussed about the which documents are needed to prove authenticity on Amazon?

  1. Invoices
  2. Letter of authorization
  3. Supply Chain invoices
  4. Bank Statement
  5. Tracking ID
  6. Proof of Delivery
  7. Product Packaging Photos
  8. Business Documents (occasionally)

1. Invoices

Invoices should be genuine and come directly from the authorized manufacturer, distributor, or wholesaler.

Do not edit, crop, or alter the invoice in any way — Amazon may reject altered documents.

The invoice must include the following supplier (seller) details:

  • Business Name
  • Company Logo
  • Official Email Address (Gmail is not preferred — use a domain email if possible)
  • Phone Number
  • Physical Business Address

Your business or personal details (matching your Amazon account) must be on the invoice:

  • Your Name or Business Name
  • Email Address
  • Phone Number
  • Shipping/Billing Address

The invoice must clearly show the date of purchase.

Typically, Amazon requires invoices from the last 180 days.

Each invoice should clearly show:

  • Product Name or Description
  • Quantity Purchased

2. Letter of authorization

A Letter of Authorization is an official document issued by a brand or manufacturer that grants you permission to sell their products on marketplaces like Amazon.

Having a valid Letter of Authorization is highly beneficial for your Amazon seller account — it helps avoid suspensions, build trust, and pass brand verification or ungating processes.

Brand Name and Logo

  • Clearly display the official name and logo of the brand issuing the letter.

Your Business Information

  • Your company name, email, phone number, and address must be mentioned as the authorized seller.

Type of Authorization

  • Specify the nature of the relationship, such as:
    • Authorized Reseller
    • Official Distributor
    • Wholesale Partner

Statement of Permission

  • A clear sentence like: “We hereby authorize [Your Business Name] to sell our branded products on Amazon and other online platforms.”

Letterhead and Signature

  • The letter must be printed on the brand’s official letterhead and include:
    • Authorized person’s name
    • Title/position
    • Signature
    • Date

3. Supply Chain invoices

If you do not have a Letter of Authorization, you must provide valid supply chain invoices to Amazon as proof of authenticity.

4.Bank Statement (Payment Proof)

Include the bank statement that shows the transaction made to your supplier for the corresponding invoices.

You may blur unrelated transactions for privacy.

Make sure the payment date matches the invoice date.

Ensure your business name and supplier name are visible on the statement.

4. Tracking ID

A Tracking ID is required to show that the products were actually shipped by the supplier.

Accepted carriers include USPS, FedEx, DHL, UPS, or any reputable logistics company.

This ID confirms that your supplier dispatched the products from their warehouse to your address.

If you don’t have the tracking number, contact your supplier and request it.

5. Proof of Delivery

The proof of delivery confirms that the shipment was successfully delivered to you.

This is typically a screenshot or document from the carrier’s tracking page

6. Product Packaging Photos

If possible, include clear photos of the product packaging taken at your warehouse.

  • Show the product label, UPC, brand name, and quantity.
  • If you don’t have these photos, you may skip this step — but it’s helpful if available.

7. Business Documents

You may also attach official business documents to support your identity and legitimacy:

  • Business license
  • VAT or Tax ID certificate
  • Utility bill (for address verification)
